Privacy Policy for Dugout Link LLC

Effective Date: September 24, 2026Matchmaking analytics update: October 23, 2026

1. Information We Collect

We collect information exclusively from adult parents, legal guardians, and coaches who register for our platform. The data collected includes:

  • Account Information: Name, email address, phone number, and password (authenticated via Supabase).
  • Player Profile Data: When a parent creates a profile for a minor athlete, we collect the player's first name, last initial, age bracket, primary and secondary positions, and specialized metrics such as pitch counts and arm rest limits.
  • Payment Information: Payment details for transactions (such as the $4.99 SOS Roster Blast) are processed securely by Stripe. We do not store full credit card numbers on our servers.
  • Tracking Technologies: We utilize the Meta Pixel and standard cookies to analyze platform traffic and measure the effectiveness of our advertising campaigns.
  • Coach Matchmaking Analytics: We record coach search counts and result counts, visible player-card counts, invite-button clicks, and successfully saved invites. We do not record search text, filter values, ZIP codes, contact details, player identities, IP addresses, or device fingerprints in these analytics. Random identifiers link activity within one visit; no analytics cookies or persistent browser identifiers are used. Event records are linked to the signed-in coach account for access control, not anonymous at collection. Only aggregate reports are available to administrators. These records and invite attribution identifiers are automatically deleted or cleared after 30 days by a daily cleanup. Coaches can disable future collection in Settings. Do Not Track and Global Privacy Control prevent browsing-event collection; the Settings switch also excludes future saved-invite counts. Normal booking records are unaffected. Matchmaking events are not sent to advertising providers.

2. Children's Online Privacy Protection Act (COPPA) Compliance

DugoutLink is committed to protecting the privacy of young athletes and complies fully with COPPA regulations. The platform is not directed at, nor do we knowingly collect personal information directly from, children under the age of 13.

  • Parental Consent: All player profiles must be created, managed, and explicitly authorized by a parent or legal guardian who is at least 18 years of age.
  • Data Access & Deletion: Parents maintain complete control over their child's data. You have the right to review, update, or request immediate deletion of your child's profile at any time by accessing your account dashboard or contacting us directly.

3. Data Sharing and Third-Party Disclosures

We do not sell personal data. Information is only shared with third parties necessary to operate the platform, including our payment processor (Stripe) and our database infrastructure provider (Supabase).

4. How We Use Information

We use the information described above to operate accounts and player listings, connect families and coaches, process payments, deliver roster invites and service notices, respond to support requests, protect the platform against abuse, and understand how the service is used. We may also use information to comply with legal obligations and enforce our Terms of Service.

5. Data Security and Retention

We use reasonable administrative and technical safeguards to protect account and player information. No method of storage or transmission is completely secure, however, and we cannot guarantee absolute security. We retain information for as long as necessary to provide the service, meet legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account or a child's profile by contacting us.

6. Your Choices and Privacy Rights

You may review and update your account and the player profiles you manage in the app. You can also ask us to access, correct, or delete personal information by writing to the address below. We will respond in accordance with applicable law and may need to verify your identity before fulfilling a request.

You can manage cookies through your browser settings. Disabling some cookies may affect sign-in or other features. Where applicable law provides additional privacy rights, you may exercise them by contacting us.

SMS & Mobile Messaging Privacy

No mobile information will be shared with third parties/affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. Changes to This Policy and Contact

We may update this policy as the service changes. We will post the revised policy here with an updated effective date. If you have questions or requests about your information or a child's profile, contact:
